Privacy Policy

Zyntra Healthcare Intelligence (“Zyntra”, “we”, “us”, “our”) provides online exam preparation and career pathway tools for International Medical Graduates (IMGs). This policy explains how we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). It applies to this website and to our exam prep app (https://www.zyntrahealthcareintelligence.com/) and career pathway app (https://www.zyntrahealthcareintelligence.online/) (together, the “Services”).
1. Information we collect
Information you give us
- Account details — name, email address, password (stored in hashed form) and profile settings.
- Career profile and CVs — if you use the career pathway tool, the CV you upload and details extracted from it, such as your qualifications, work history, registration status, visa or residency information you choose to provide, referees and contact details.
- Exam preparation data — your answers, OSCE practice recordings or transcripts (where you use voice practice), study plans and exam dates.
- Communications — messages you send us and early-access sign-ups (email address, optional name and the product you are interested in), stored in our own database.
Information collected automatically
- Performance and behavioural data — timing, answer changes and patterns of performance used by our APPE engine to personalise your training.
- Technical data — IP address, device and browser type, and log data needed to operate and secure the Services.
Early-access questions (waitlist quiz)
Before you join the early-access list on this website, we ask you 6 short clinical questions. We record the answer you choose for each question and how you answer it: how long you take to make a first choice and to move on, which answers you select and change, and whether you switch away from the page or pause. We also store a one-way hashed (non-reversible) fingerprint of your browser’s user-agent string to help detect automated sign-ups; we do not store your IP address for this purpose. We use this information to work out which early users our engine can help most and to decide the order in which we invite people to beta trials. It is linked to your early-access sign-up and stored in our own database; it is not shared with third parties and no third-party trackers are used. If you answer the questions but do not join the list, the answers are deleted automatically after 7 days. You can ask us to delete your sign-up and quiz answers at any time (see section 8).
Payment information
Payments are processed by our payment processor, Razorpay. Your card or bank details are submitted directly to Razorpay and are not stored on our servers. We receive limited information such as transaction status, amount, plan and a payment reference. Razorpay handles your data under its own privacy policy.
Sensitive information
We do not ask for health information or other sensitive information. Please do not include sensitive information (for example, health details or racial or ethnic origin) in your CV or profile unless you want us to process it. If you do provide it, you consent to us handling it for the purpose of providing the Services.
2. How we use your information
- To create and manage your account and provide the Services.
- To personalise exam practice and study plans, including APPE behavioural analytics.
- To prioritise invitations to beta trials, using your answers to the early-access questions and how you answered them (see Early-access questions).
- To analyse your CV and profile, generate pathway guidance, job matches, job probability scores and hospital suggestions.
- To process payments and manage subscriptions.
- To communicate with you, including service messages and (with your consent) product updates. You can opt out of marketing emails at any time.
- To maintain security, prevent fraud and improve the Services.
- To comply with our legal obligations.
3. AI processing
Some features use artificial intelligence, including third-party AI model providers, to extract information from CVs, generate feedback and produce recommendations. We share only the information needed for the feature to work. AI-generated outputs are general guidance and may contain errors; they are not professional, legal, migration or registration advice.
4. Disclosure
We do not sell your personal information. We disclose it only to:
- service providers who help us run the Services (such as hosting, database, email, AI model and payment providers, including Razorpay);
- professional advisers, and authorities where required or authorised by law;
- a purchaser or successor if our business is sold or restructured, subject to this policy.
We do not share your CV or profile with employers or recruiters unless you ask us to.
5. Overseas disclosure
Some of our service providers store or process data outside Australia, which may include India (Razorpay), the United States and other countries where our hosting and AI providers operate. We take reasonable steps, in line with APP 8, to ensure overseas recipients handle your information consistently with the APPs.
6. Cookies and analytics
This marketing website does not use advertising or analytics tracking cookies and does not load third-party tracking scripts. Our apps use essential cookies or local storage to keep you signed in and remember preferences. If we introduce analytics in future, we will prefer privacy-friendly, cookie-less tools and update this policy before doing so.
7. Security and retention
We use reasonable technical and organisational measures to protect personal information from misuse, interference, loss and unauthorised access, including encryption in transit. We keep personal information only as long as needed for the purposes described here or as required by law. You can delete uploaded CVs from your account, and you can ask us to delete your account.
8. Access, correction and deletion
You may request access to, or correction of, the personal information we hold about you, or ask us to delete it, by emailing heisenberg@zyntrahealthcareintelligence.com. We will respond within a reasonable time (generally 30 days).
9. Complaints
If you have a privacy concern, please contact us first at heisenberg@zyntrahealthcareintelligence.com. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
10. Changes
We may update this policy from time to time. We will post the updated version here with a new “Last updated” date and, for significant changes, notify account holders.
